Summary

A plain-language rewrite of the active docs, checked against apps/desktop-tauri and rust/src at 27434ca21. The docs now describe the Mac-parity work: the tray panel as the only dashboard, provider cards and metric rows, pace lines and the tray pace tint, the Settings sidebar, the Hooks pane, Hide Personal Info, portable preferences, the #833 provider wording, the #835 window lengths and the CLI icons. Docs only; no code changes.

Status-poller documentation — #837 (feat/status-poller) merged to main as a8fac16. The docs have been updated to reflect the merged implementation: status polls skip auto-resume probes, unforced refreshes throttle to 30-second intervals, and the CLI status.level values are clarified.

Docs changed

  • README.md: install (installer, portable, CLI zip, checksums), statically linked CRT, signing status, first run, a feature list that includes the Mac-parity work, the provider matrix (anchor #supported-providers kept), 10 languages, build from source, privacy and a docs table.
  • AGENTS.md: restructured into short rules with tables and a docs index. Every rule is kept; see below.
  • CONTEXT.md: current CI roles and the budget glossary.
  • docs/ARCHITECTURE.md: crates, entry points, the four windows, data flow (refresh limits and timeouts, settings, hooks), the events list, the tray icon and pace tint, pace stages, the proof harness.
  • docs/CLI.md: rewritten against the current --help output of every subcommand.
  • docs/CONFIGURATION.md: the files and their protection, the Settings window and tab ids, the sidebar, one table per pane (label, key, default), quota warnings, portable preferences, switcher keys, accounts, source mode and hooks.
  • docs/PROVIDERS.md: how to add a provider (including the pace_capability arm), fetch sources, usage windows, pace and reset-window pace, the tray pace tint, the window-length table, the Provider wording: Synthetic Regenerates, ClawRouter and LithosAI cost titles #833 wording, status pages, Usage & Spend.
  • docs/BUILDING.md: prerequisites, current scripts, checks, the release build and the release binary names. The stored-process-environment rules are kept.
  • docs/COOKIES.md: the import flow, the browser table (including Arc), App-Bound Encryption, manual cookies, error messages.
  • docs/WINDOWS_PROOF.md: proof mode, usage seeding, CDP targets, cua-driver install and session rules, the post-install checklist.
  • docs/adr/0001–0006: plainer wording. Decisions, dates and consequences are unchanged. Later changes are recorded, and 0001 is marked superseded.

Facts corrected against the code

  • CONTEXT.md: releases are built by GitHub Actions release.yml, not CircleCI. The CI slice has 11 steps, including oxlint and the anti-slop check. .github/CI.md doesn't define the budget modes, so the doc points to ADR 0002. thin behaves like normal in code. release.yml ignores CI_BUDGET_MODE. The guard runs on ubuntu-latest.
  • ADR 0001 is superseded by 0005 (PR check) and 0004 (releases). ADR 0002 records the CircleCI gate, the guard on ubuntu-latest since Optimize hosted CI usage #416, and releases on GitHub Actions. ADR 0003: Managed is ManagedByApp; Rework the tray card into the upstream card anatomy #813 removed the React account flyouts, and the native tray submenus remain. ADR 0004: the first version's status names (2026-08-14, CircleCI release-only Windows pipeline #285); circleci-release-build.ps1 is run by GitHub Actions; the asset names. ADR 0005: releases left CircleCI; the gate uses when: rather than a branches filter; the regex; there is no fork fallback; 11 steps. ADR 0006: later numbers (1,997 lines, 96 variants); no candidate crate was added.
  • The settings folder is %APPDATA%\CodexBar. One doc said %AppData%\Roaming\CodexBar.
  • settings.json is always written through secure_file, which wraps it with DPAPI. hooks.json is plain JSON.
  • CLI.md: the guard exit codes are 0/1/64/69. Removed an older Antigravity paragraph ("dollar cost unknown") that contradicted the newer priced-estimate text. Added the missing config preferences row, the full cost -p list, the serve routes and flags (/icons, /dashboard/v1/snapshot, --host, --refresh-interval, --identity), sessions --json-v2 and --brief, the dashboard, autostart, account, workspaces and diagnose sections, and the hooks event list.
  • The installed codexbar.exe is the desktop app; the CLI is codexbar-cli.exe. Cargo's own names are codexbar.exe (CLI) and codexbar-desktop-tauri.exe.
  • Hide Personal Info is in Advanced > Privacy. The portable preferences and the switcher-keys sheet are in General. The button is "Restore Defaults".
  • The tray account submenus don't have Remove or Refresh login.
  • The hook rate limit (600 s) covers usage_updated, provider_unavailable and refresh_failed.
  • The list of keys that preferences export covers was incomplete.
  • The label is "Refresh when the menu opens", not "Refresh all providers when the menu opens".
  • README: the CRT is statically linked, so no VC++ runtime install is needed. The installer only needs WebView2. Releases are still unsigned through 0.70.0. The current version is 0.70.0, not v0.33.2. There are 10 languages, including Russian, which was missing. The dev helper is scripts/dev.sh, not a root dev.sh.
  • COOKIES.md: Arc is a supported browser.
  • WINDOWS_PROOF.md: dropped the stale feature/port-phase-13-e2e branch header and the WiX/MSI/NSIS installer steps. Releases use the Inno Setup installer from the release script (see BUILDING.md).
  • Status pages: Port the Mac provider-status poller #837 added the provider-status poller to the desktop app with Settings toggle, status dots in the sidebar, incident lines in the tray panel, and codexbar usage --status updates. The docs now describe the merged implementation: status polls skip auto-resume probes, unforced refreshes throttle to 30-second intervals per provider, and the CLI status.level values are operational, degraded, major, unknown.

AGENTS.md: sources and changes

Notes with quotes are in the working notes (V1 = Vercel AGENTS.md evals post, V2 = Vercel DESIGN.md post, C = Claude prompting best practices, O = OpenAI latest-model guide).

Change in AGENTS.md Sources
Short file of rules plus a docs index; long reference moved to docs/ V1 (passive context beats on-demand skills; a compressed index is enough)
"Read the code first; code wins over docs" near the top V1 (retrieval-led reasoning), C (investigate before answering)
Precedence line: user instructions, then AGENTS.md, then other docs O (make priority explicit; user instructions take precedence)
Conflicting or stale rules fixed, one statement per rule O (audit AGENTS.md; conflicts block work)
Rules stated as observable behavior with the reason V2 (rules as checkable behavior), C (give the reason behind instructions)
Mechanics referenced by script (gh-safe.sh, local-check.ps1, worktree-env.ps1) V2 (point to the enforcing artifact)
Named failure patterns: the dev URL in raw release builds, the theme flip, the stale exe V2 (name the anti-patterns)
"Ask first" list, with approval as the last step C (reversible vs. irreversible actions), O (do the work first, approval last)
Plain imperative wording; capitals for emphasis kept only on a few safety rules C (be explicit; less aggressive emphasis), V1, O (plain language)
Testing calibrated to the change O (run tests appropriate to the change)
UI proof through computer use and CDP C (computer use and vision for verification)

Rules kept, moved or merged (none dropped)

  • Kept: GitHub write safety and scripts/gh-safe.sh (now its own section, together with the three allowed repos), the upstream read-only rule, "no new dependencies or tooling without confirmation" (now under Ask first), the CUA and real-window proof requirement, the worktree storage policy, provider siloing, the secrets rules, cookie browser selection, Claude CLI output, the logging rules, the Winget steps, fork PR review, CodeRabbit.
  • Fixed to match the code: the settings tab ids now include hooks (matches surface_target.rs and SettingsTabId). The new-provider steps include the pace_capability arm. The settings path is %APPDATA%\CodexBar\settings.json, always DPAPI-wrapped. The dev helper is ./scripts/dev.sh. The release binary names were added.
  • Moved: the cua-driver install command, the docs links, the daemon and session details and the post-install checklist moved to docs/WINDOWS_PROOF.md. AGENTS.md keeps the 6-step retest loop and an index line pointing there.
  • Merged: the duplicate gh-safe and repo-binding rules (from Code Conventions and Release) are now one section. The duplicate CUA proof rule in Commits and PRs now links to the Testing section. The heading UI validation with CUA ([trycua/cua](...)) is unchanged, so the anchor #ui-validation-with-cua-trycuacua still works.
  • Size: 203 lines and 19,318 characters, against 195 lines and 19,583 before.

Checks

  • Command check: every documented CLI command and flag was run against a debug codexbar.exe built from this base, with a script outside the repo. Result: 33 pass, 0 fail.
  • Link and anchor check: a script outside the repo checked 240 relative links and anchors in 50 markdown files. 5 are broken, all pre-existing in rust/README.md (screenshots/*.png), which this PR doesn't touch.
  • git diff --check: clean.
  • No Rust or frontend build or test was run, because no code changed.

Open questions (default chosen)

  • codexbar --help calls usage the "(default command)", but a bare codexbar exits 64. This is a code issue and out of scope. Default: CLI.md documents the actual behavior (a subcommand is required).
  • docs: refresh README provider count and runtime note #826 (README accuracy) is open and overlaps README.md. This PR says "More than 90 providers" (96 ProviderId variants, 2 of them deprecated), and docs: refresh README provider count and runtime note #826 says "80+". Both agree on the static CRT. Default: whichever merges second resolves the conflict. The count here comes from the code.
  • AGENTS.md is about the same size as before, not much smaller, because it gained the precedence line, the important-files table and the docs index. Default: keep them, since the sources favor an index in the always-loaded file.
  • Not verified in code, so kept as before: what Hide Personal Info does in CLI serve, the dashboard, cost and claude_swap, and a few CONFIGURATION.md details carried over from the old doc (some Advanced, Menu Bar and account-flow details).

Match the frontend commands used by the CI slice.

The listed pnpm commands omit --dir apps/desktop-tauri, which the canonical CI slice uses for each frontend step. A contributor following this list from the repository root can run a different package’s scripts or fail to find them. Add the directory argument to these commands. The supplied scripts/local-check.ps1 excerpt uses --dir apps\desktop-tauri for the frontend steps.

`%AppData%\Roaming\CodexBar\settings.json` (and sibling stores) via `Settings::load` / `save` + `secure_file` (DPAPI-capable). UI patches go through `updateSettings` → save → settings / float-bar events.
1. `codexbar::core::instantiate_provider` in `rust/src/core/provider_factory.rs` builds each provider. It is the only provider factory.
2. `commands/providers.rs` in the shell calls `Provider::fetch_usage`. It runs at most 8 fetches at once.
3. Each fetch has a timeout: 75 seconds for Claude, Codex and Copilot, and 35 seconds for the others. LiteLLM gets 40 seconds when optional details are on. A longer web timeout in settings raises these, up to 65 seconds.

Clarify which fetch timeouts the web timeout can raise.

The timeout calculation preserves the 75-second baseline for Claude, Codex, and Copilot. The 65-second cap applies only to the context-derived timeout. Clarify that a longer web timeout can raise the 35-second default and optional LiteLLM’s 40-second timeout to at most 65 seconds.

The calculation is in apps/desktop-tauri/src-tauri/src/commands/providers.rs, Lines 502-515.

- Account lists in the tray menu and in Settings show "Account 1", "Account 2" and so on. For Codex this covers every account, ambient and managed. The number comes from the sorted account id, not the list position.
- Settings > Providers hides the email and organization, and shows an OpenAI API project id as "Project: ••••".
- Usage & Spend and cost history show Codex project names as "Workspace", drop session titles and clear paths.
- Hook payloads never get the account identity.

Honor hide_personal_info in codexbar hooks watch.

The desktop emitters omit the account when privacy mode is enabled, but hooks watch always copies usage.account_email into account_display_name. The transition detector then serializes it as HookEvent.account and exposes it to the hook process. Apply the privacy check before building the observation.

Suggested fix

Update the observation-building path in `codexbar hooks watch` to check
`settings.hide_personal_info` before assigning `account_display_name`; use no
account value when privacy mode is enabled, while preserving
`usage.account_email` when it is disabled, so `HookEvent.account` does not
expose the identity.

official cua-driver CLI reference keyboard hotkey background input

💡 Result:

**Official Cua Driver keyboard/hotkey reference:** [Key and shortcut tools](https://cua.ai/docs/cua-driver/reference/mcp-tools/keys-and-shortcuts)

- `hotkey` takes `keys`, with modifiers first and one regular key last—for example, `["cmd", "c"]`.
- `delivery_mode: "background"` is the default: it attempts input without raising the target window. Use `"foreground"` only if background delivery doesn’t work; it briefly fronts the window and restores the previous app.
- A hotkey doesn’t focus a text field. For backgrounded Electron inputs, click the field first, then type.
- The docs say these MCP tools can also be invoked from the shell as `cua-driver <tool> '<json-args>'`. For the broader command and CLI reference, see [CLI](https://cua.ai/docs/cua-driver/reference/cli). ([cua.ai](https://cua.ai/docs/cua-driver/reference/mcp-tools?utm_source=openai))

Make the global-shortcut check executable under this procedure.

Line 70 prohibits cua-driver keyboard input, but the checklist requires recording and triggering a global shortcut. The recorder needs a keydown event, and native toggling needs a ShortcutState::Pressed event. Document whether cua-driver hotkey with delivery_mode: "background" produces those events. If it does, permit that mode for these checks. Otherwise, document a controlled manual exception or mark the checks as outside the procedure.

Update the keyboard-input restriction in the procedure so the global-shortcut
checks are executable: document whether `cua-driver hotkey` with `delivery_mode:
"background"` generates the required `keydown` and `ShortcutState::Pressed`
events, and permit that mode if it does. If it does not, document a controlled
manual exception or explicitly mark those checks as outside the procedure.

- **Float bar.** An optional always-on-top strip with the same usage.
- **Providers.** More than 90 providers, including Codex, Claude, Copilot, OpenRouter, Cursor, Gemini, DeepSeek, MiniMax, Kiro, Antigravity, Groq, Qoder and Sakana AI. Each provider has its own source, credentials, cookie import, token accounts, API keys and region settings.
- **Settings.** A window with a sidebar: General, Usage & Spend, Notifications, Menu Bar, Menu, Advanced, Hooks and About, then one page per provider. Each provider row has a status dot.
- **Provider status pages.** With **Check provider status** on (the default), the app polls the status pages of providers such as OpenAI, Claude, Copilot, Cursor and Gemini. An incident colors that provider's dot in Settings and adds a line to the tray panel and the tray tooltip.

🎯 Functional Correctness | 🟡 Minor | ⚡ Quick win

Do not describe the status poller as shipped before #837 lands.

This bullet says the desktop app polls provider status pages by default and displays incidents in Settings and the tray. The PR’s code audit says main has no Settings toggle or desktop poller, and places that implementation in open PR #837. If this documentation change merges first, users will look for functionality the app does not have. Remove or qualify this bullet until #837 merges. (github.com)

Scope the settings-path documentation to the desktop and CLI.

Settings::load uses %APPDATA%\CodexBar\settings.json by default, but the CLI can override it with CODEXBAR_CONFIG. That override moves api_keys.json and manual_cookies.json, while hooks.json remains at the default path.

 2. The frontend calls `updateSettings` with a patch.
 3. The shell saves the file and sends `settings-changed`. In the page, the DOM event `codexbar:settings-updated` tells other parts of the UI to reload. The float bar has its own config events.
